DRAFT COPY DRAFT: to be approved GRAND TENIS CLUB The meeting was called to order by President Walt Volland at 6:30pm. A quorum was confirmed. Board Members present: Walt Volland, Pres.; Mike Garvey, VP; Jeff Lewis, Treas.; Diane Hammann, Sec.; Diane Hammann summarized the minutes of the 4/11/13 meeting (which had been posted on GTC bulletin boards and on GTC’s website). Tom Burke moved, Jim Palzer seconded acceptance; motion carried. Jeff Lewis, Treasurer, reported $5,273 in checking and $10,004 in savings. Membership stands at 449. Emails regarding 2014 dues will be sent in November. He has volunteered to assist with Treasurer duties if the 2014 Treasurer is out of town in the summer. Anyone wanting to buy a GTC shirt with logo should see him. Pat McCormick and Sue Schrader, Social Co-chairs, announced they were selling tickets to the 11/10/13 Welcome Back Pizza Party. Sign-up sheets are by the tennis courts for that day’s (2:30 – 4:30pm) tennis social. The party ($6.00 for members; $10.00 non-members) will begin at 5:00pm. GTC’s Holiday Party on 12/5/13 will be at Briarwood Country Club. Sign up in tables of 8 or 10. $35.00 for members; $40.00 non-members. Jim Palzer gave the Nominating Committee’s Report. (Committee members: Jim Palzer, Donna Gropp and Marv Blank.) Thus far, the 2014 GTC slate is: Walt Volland, President, Skip Pavitt, VP, Mike Smith, Treasurer, and Leroy Smith, Men’s Rep. Openings remain for Secretary and Women’s Rep. In response to a question from the floor, Jim said nothing in the rules say the position of Women’s Rep had to be filled by a woman. The committee confirmed with Gina Worch that if only one person runs for a position, a show of hands at the General Meeting would vote the candidate in. A written ballot would be used for any position with more than one candidate. Jim called for nominations from the floor. No nominations were proffered. Women’s Rep, Linda Richman shared information about Women’s West Valley League and Drop-in schedules. Men’s Rep, Jim Bush reported increased participation at Men’s Drop-in. Men’s Social (noon to 2:00pm) will be on 11/21/13. Saturday mixed doubles numbers have grown so both 8:00 & 10:00am start times will begin soon. Old Business: Ball machine access and procedures were discussed. At Cimarron, first reserve the court via (click here http://www.holdmycourt.com/reserve2/gtc_tennis ), then go to ball machine on court and unlock the combination lock. At Chaparral, reserve your court (Stadium preferred), sign in at the Adobe Spa, show your GTC paid member sticker, hand over your CAM card to get the key to the storage room at the Courthouse, remove and use equipment. Online court reservations allow members (and resident non-members) to reserve 1 court for every unique email address s/he has. Reservations can be made 11 days in advance. A new day begins at 5:00pm. The current day locks out at 5:00pm the day before. Online reservations take priority. Prior to Mitzi Mills departure, there was an agreement that CAM staff would post Mon-Fri day-of reservation sheets. Walt to meet with Gina Worch to discuss and get process started. The windscreens at Cimarron, previously paid for by the Tennis Club, have been installed. Skip Pavitt, Chair, Shine in the Sun Tournament, reported details of the February 19-23, 2014 tournament. There will be 3.0, 3.5, 4.0 and mixed 6.0, 6.5, 7.0, 7.5 and 8.0 divisions. The GTC Board approved 100% of sponsorship funds will go to St. Mary’s West Valley Food Bank. The tournament committee is still looking for a Banquet Director and a Public Relations Coordinator. The event will introduce a new way to keep track of who is playing on which court, in real time. The closing day’s banquet will be free for participants/$10 for all others. GTC had requested a bike rack by the Cimarron courts. CAM has now installed a small one as space allowed. Members were encouraged to visit the club’s website at http://www.800mainstreet.com/GTC/GTC-2013.html to see the information it contains. New Business: Because not all GTC members truly know their rating as compared to SCG levels of play, a committee was formed to develop a possible new skill level evaluation process. Chairman Skip Pavitt reported the goal of the proposed evaluations is to better facilitate members playing with others of the same ability as defined at SCG. Current members would stay at their current level of play. GTC candidates for skill level evaluations for GTC-sponsored event play would be limited to: 1) new members to GTC; 2) members wanting to move up a level; and 3) members against whom 10 other members at their current play level have expressed concern to their respective Reps and have requested an evaluation be made to determine the players’ true skill level. The evaluators would be 2 male 4.0 players, 2 female 4.0 players and 1 member at the level of play involved. Members going through an evaluation would receive a copy of their evaluation sheets so each can see his/her strengths and possible weaknesses. The committee will prepare their final recommendation for a trial run of this new procedure to the GTC Board at a future board meeting. GTC’s Guest Policy, in accordance with CAM policy, was discussed. It was confirmed GTC is not required to collect fees for tennis play. It was agreed that at both Men’s and Women’s Drop In, guests must sign liability waiver forms. Neither GTC members nor guests who sign in late are guaranteed play. It is up to the Men’s and Women’s Drop in groups to decide whether exceptions can be made to fill a court. SCG house guests can play 6 times and outside community guests and residents of SCG can only play 3 times during a calendar year. It was noted these play restrictions do not apply to club-sponsored tournaments and/or league play. Writers for The Grand Timesarticles are needed.
