DRAFT: to be approved GRAND TENNIS CLUB (GTC) The meeting was called to order by President Walt Volland at 6:39pm. A quorum was confirmed. Board members present were Walt Volland, Pres.; Mike Garvey, VP; Jeff Lewis, Treas.; Diane Hammann, Sec; Diane Hammann read the minutes of the November 13, 2012 General Meeting with correction. The wording about work done on Courts 1, 2, 5 & 6 at Adobe were changed from “asphalt resurface project” to “refurbish-ment (sand, patch, paint).” She said a hard copy was available at the registration table. Pat McCormick moved and Lydia Browning seconded the motion for acceptance of corrected minutes. Membership voted approval. Reports: Social Co-Chair Pat McCormick said the next social and tennis event will be on Sunday, February 17. On March 17, a St. Patrick’s Day theme would apply to the Club’s annual Ice Cream Social with proceeds again being donated to “Relay for Life.” Contract for the Club’s Holiday Party on December 5, 2013 at Briarwood Country Club are expected to be signed on 1/15/13. Treasurer Jeff Lewis reported the Club has about $11,800 in checking; about $10,000 in savings. Dues for 2013 are still coming in. Upcoming purchases include a new $5,200 ball machine and $3,000 for court benches once approved. Jeff will be submitting the Club’s financial reconciliation to CAM later this month. In summary, in 2012 the Club’s total income was $23,422; total expense $26,406; net reduction to banking of $3,000. 330 members are paid as of tonight; 500 members expected. 10-15% are paying by credit card. Men’s Rep Jim Bush reported 20-30 men are participating each Tuesday and Thursday. Courts at Chaparral will be closed the 1st Thursday of the month for court washing. Players may elect to play at the Surprise Tennis Center on those days. Jim encouraged members to bring their own first aid items to the court. The Club stopped stocking first aid kits on the courts last year. A first aid kit is in the courthouse. Women’s Rep Linda Richman reported the January 23 women’s meeting and luncheon will be rescheduled. Linda will send out an eblast with details. Old business: Instructor contracts have been distributed to and returned by Carol Bentley, Jack Josse and Vince LaRocca. An additional free clinic will be posted and announced via eblast. The Board is considering offering small group classes with instructors for a proportional fee. A Club website was previously voted on by general membership. Walt will issue an eblast with the URL of the GTC’s new, free site. http://www.grandtennisclub.com/GTC-2013.html The Playmate Smash ball machine was delivered to the Club on 1/7/13. Because it is more sophisticated than previous machines, members must be trained before they can use it. The new ball machine will only be used on Stadium court. Our older Playmate will move to Cimarron. Electric service problems were reported on Chaparrel courts 1, 3 & 4. Courts 9 & 10 never had power outlets. The power box on the Stadium court is loose and needs to be checked. These problems will be reported to Scott Phillips. The court benches order is on hold. CAM is changing their insurance carrier. Scott Phillips advised the current insurer Wells Fargo did not provide adequate information. Scott will resubmit the Club’s proposal when CAM has a new insurance carrier. Chaparrel courts 1,2,5,6 have been resurfaced. Players have mixed reviews of the courts. The non-skid surface is good. The membrane layer flexes and gives a characteristic sound during play. The courts are viewed to be better since being refurbished. Windscreens at Cimarron are a priority for the Club. The need for windscreens for background is important not only for viewing the ball, but also for player safety. Scott Phillips provided a General Acrylics’ quote for windscreens on the edge of courts 1 & 2. It is less than $1,700. Walt asked for a motion in support of the Club paying for the windscreens. Paul Schlender moved “that the Grand Tennis Club expend up to $1,700 to purchase and install windscreens on the unscreened side of the Cimarron tennis courts 1 & 2.” Donna Gropp seconded. Gary Browning called for the question. The motion passed unanimously. Cimarron vandalism. Two cases of vandalism to the gates facing Mountain View Blvd have been reported by Scott Phillips. The gate was kicked to force the gate open. GTC expressed disapproval of such vandalism and hopes GTC members are not involved in such activities. A key card swipe reader for access to Cimarron courts has been installed but is not yet operational. Grand Slam will soon go on GTC’s own website (http://www.grandtennisclub.com/GTC-2013.html). Some hard copies without photos will be posted at Chaparral and Cimarron. Courts can only be reserved via sign-in sheets after 5 pm on Friday. If people sign up earlier than 5pm, names of the offenders will be recorded. If the offenses are repeated, steps will be taken to prevent future misuse of the sign-in sheets. The 2012 inventory report is due at the end of January to CAM. Mike King, Bob Manuelian and Jack Driscoll volunteered to complete the inventory report. Used tennis shoes formerly were given to ASU. Because ASU no longer accepts them, the Club is soliciting suggestions of who might appreciate used shoes. Collection will end if we can’t find someone who wants the used shoes.
SCG’s 5th Wounded Warrior event and silent auction will be held on February 23. Barb Clark moved for adjournment. Howard Wallberg seconded. Motion passed.
